Thank you for your interest in the Amsterdam Lodge. Our lodge is Amsterdam’s first English speaking lodge and we focus on balancing our ancient tradition with modern technology and trends. For this reason, we are very aware that your personal information is very important. This privacy notice will explain how our non-profit member organization uses the personal data we collect through forms or via email. By submitting a form on our website and by reaching out to us via email, you are providing consent in the handling of your personal data and you are agreeing to this privacy notice.
1. When do we collect information? We will collect information from users when they seek to apply for membership of the lodge, would want to join meetings, or would like to get in contact with us. We will be collecting the information the moment you have submitted the contact form on our website and/or when candidates return an application form.

If you are a non-mason seeking to be admitted in to the Amsterdam Lodge, we will request your information in order to make an assessment of your candidacy. This information will be used to assess your fit within the Amsterdam Lodge and within the wider global masonic community (a key reason we ask for your previous countries of residence for example). If you are a mason seeking to visit our lodge, we will be collecting your information in order to validate your identity and membership in your present lodge.

All information is stored in the private Google environment of the Amsterdam Lodge Secretariat. Our email addresses are secured through two-factor authentication services, and passwords are changed every 12 months. Conforming with good security practices, we also ensure that our website uses secure hypertext transfer protocol (HTTPS) through the use of TLS/SSL. We also protect your data by designating and appropriately training members of the Lodge in the positions of Data Protection Officer and Security Officer.

For candidates seeking admissions, the submitted data will be shared with a selection committee and will be shared for the purpose of validation with the Freemason’s Order of the Netherlands, the national masonic organization – of which the Amsterdam Lodge is a part of. The relationship between the Amsterdam Lodge and the Freemason’s Order of the Netherlands means that data-sharing does not occur between any third-party organizations.

This document is the privacy policy of the Amsterdam Lodge no. 312 situated in the city of Amsterdam, the Netherlands. This privacy policy is meant as a guiding document on how to handle the personal data of candidates and visitors, those being masons wanting to join meetings or become members or joining members.
Given the nature of our organization and historical sensitives regarding membership to Freemasonry, the protection of data of candidate members, brethren seeking to join our meeting and our fellow members is taken very seriously.
This document should be revised once a year by the Data Privacy Officer of the Amsterdam Lodge, N. Castellon. To reach the DPO with privacy related questions, please send an email to [email protected].

1. When do we collect information? We will collect information from users when they seek to apply for membership of the lodge, request to join meetings, or would like to get in contact with us. We collect this information the moment users have submitted a form on our website or have emailed one of our public facing email addresses (for example when candidates return a completed application form).
The moment we are contacted via our website or through a public facing email address, we treat the data as confidential. This means the forms will not be downloaded or replicated unless necessary for following procedures such as starting a candidate application process, validating existing memberships, or other administrative tasks. We will ensure that all personal information contained on local devices is deleted after any required processing is complete. Any physical copies documents will be treated with the same care and will be securely disposed of when no longer required for the intended processing purpose.
A candidate’s information will be collected at the following stages, in the following order:
Step 1: Expression of interest. The candidate fills out a form online or emails a public facing email address, expressing consent and acknowledging the privacy notice.
Step 2: Interview. The candidate is interviewed and notes are taken based on the conversation. These forms are added to the file of the candidate for further inspection of the selection committee. The candidate file is stored within our private Google environment.
Step 3: Admittance form. The candidate fills out an admittance form providing further information indicated in section 3. By submitting the form, the candidate consents to the handling of personal data and accepts the privacy notice.
Step 4: Report. The final report is comprised of information gathered during the first three steps. This report is shared with the Netherland’s Order of Freemasons. Upon receiving a positive or negative answer, the candidate is notified. The report is then fully deleted by both Amsterdam Lodge locally and, depending on if the application has progressed to the stage where information is shared, the Netherland’s Order of Freemasons. Unfortunately, a candidate will not be able to retrieve their information after this point, as it will no longer be available.

If we are contacted by a mason seeking to visit our lodge, we will be collecting their information in order to validate their identity and membership in a present lodge.
The collection of an applicant’s data is necessary in order to validate and process the application.

All information will be collected via emails sent from the Amsterdamlodge.nl website to our private Google environment. These shall be received in the secretariat email inbox and shall not be forwarded or downloaded unless for the purpose of handling the request.
If a candidate is admitted as a member, the Amsterdam Lodge will keep the data as part of the member’s profile.

- Original and updated version of iOS on iPhone device.
- Change passwords every 12 months.
- Email password must contain minimum 8 characters and must include 1 letter and 1 symbol.
In regard to handling the data on the forms in the inbox, we maintain the following procedures:
- All information received will not be forward to other email accounts unless for the purpose of reviewing the candidate or visitor’s information.
- All emails sent with forwarding information shall have a notice requesting the recipient to not forward the information further and delete it once the assessment is done.
